New telecoms solution is rated ‘outstanding’

Background

Ryedale School, which opened in 1953, is a comprehensive secondary school located in Nawton, North Yorkshire. The school provides for pupils aged 11 to 16. It regularly achieves higher than average GCSE results. In 2012 the school was inspected by Ofsted and was rated Grade 1 (outstanding) for overall effectiveness.

Ryedale School was delighted to partner with Russell Telecom; a company with three decade’s experience of meeting the telecommunications needs of UK businesses and organisations.

Requirements

Russell Telecom carried out a thorough assessment of the school’s existing systems and of their specific requirements.

Ryedale School wanted to update its existing telecoms system to embrace new features including auto-attendant and the ability to link voicemails to emails to provide members of staff who do not have a physical extension with a virtual extension number linked to a voice mail box with their own recorded greeting.

Solutions

Russell Telecom completed a comprehensive evaluation of the school’s telecommunications systems before it identified the NEC SV8100 telephone system as the perfect telecoms solution. The SV8100 is one of the newest digital and IP phone systems from NEC.

Russell Telecom provided the school with 36 handsets including a mixture of digital, IP, cordless and uMobility soft phones. The NEC uMobility solution extends the functionality and capabilities of the SV8100 to various smart phone platforms such as on Android, BlackBerry and iPhone and allows the user to connect to the telephone system through the school’s existing WiFi network.

This provides wireless IP telephony without the need to deploy a separate wireless network.

The system also features voice mail and auto- attendant. Russell Telecom linked the voice mail to email allowing it to provide members of staff who do not have a physical extension with a virtual extension number linked to a voice mail box with their own recorded greeting. This feature enables the operator to transfer incoming calls directly to the staff’s voice mail box where a message can be left. An email is then sent to notify the individual that they have a message. The user can access the message from any extension. Each mail box can be password protected for added security.

The auto-attendant is kept simple with just three options: Pupil absenteeism; Pastoral Care and main reception. When combined with individual Direct Dial numbers for key staff the new system enables callers to reach the correct person much more quickly.

Russell Telecom also provided CTI (Computer Telephony Integration) with the MyCalls Desktop Lite application. This provides point and click dialling from the user’s computer screen, screen popping from MS Outlook contacts and a 10-user DSS (Direct Station Select) function.

The school is a campus site with separate buildings the majority of the cabling infrastructure is CW1308 with BT type sockets. Russell Telecom provided digital handsets for these extensions therefore utilising the existing wiring and keeping the installation costs to a minimum.

By including VoIP technology Russell Telecom was able to provide IP handsets to areas where new handsets are required but there is limited cabling infrastructure. This also allows for simple and low cost future growth and excellent flexibility.

The school chose Russell Telecom because of the company’s extensive experience in the education sector and following excellent feedback from references.
